1. Who we are
Qoovio is the controller for personal information collected through this website and the Qoovio app. You can contact us at [email protected].
2. Information we collect
We may collect your name, email address, order details, licence key, activation status, device identifier, operating system, app version, support messages, newsletter sign-up details, and basic website usage information. To protect the free-trial form from automated abuse, we use Cloudflare Turnstile and retain a one-way cryptographic hash of the signup email address and IP address, together with a limited user-agent string and verification outcome. We do not retain the raw IP address in this record.
3. How we use information
We use personal information to process purchases, issue licence keys, activate Qoovio, enforce activation limits, provide support, send product updates where permitted, improve the app and website, prevent fraud, and comply with legal obligations. Where you actively opt in, we may also send Qoovio updates, tips and occasional offers. You can unsubscribe from those marketing emails at any time using the link in the email.
4. Legal bases
Depending on the activity, we rely on contract, legitimate interests, consent, or legal obligation. For example, licence activation is needed to provide the software contract, while Qoovio updates, tips and occasional offers rely on your consent.
5. Payments
Payments may be handled by a third-party checkout or payment provider. Qoovio does not need to store full card details. The payment provider may process your payment information under its own privacy terms.
6. Licence activation
When you activate Qoovio, the app may send your licence key, device identifier, app version, operating system, and activation status to the licence server. This is used to confirm whether your Solo or Pro activation limit has been reached.
7. Sharing information
We may share information with trusted service providers who help operate the website, email, checkout, licensing, analytics, updates, and support. We do not sell your personal information.
8. International transfers
Some providers may process information outside the UK. Where required, we will use appropriate safeguards such as contractual protections or equivalent transfer mechanisms.
9. Retention
We keep personal information only as long as needed for the purposes described in this notice, including licence management, support, accounting, legal compliance, and dispute handling. Expired trial licence records are archived for up to 24 months after expiry so that we can provide support, prevent repeated free trials and protect against abuse. At the end of that period, we review the record and delete or anonymise it unless we have a lawful reason to retain it for longer. Paid licence, purchase and related accounting records may be retained for six years after the end of the relevant financial year where required for accounting, tax, legal or dispute-handling purposes. Trial-signup abuse-prevention records are automatically deleted after 90 days.
10. Your rights
You may have rights to access, correct, delete, restrict, object to, or receive a copy of your personal information. You may also withdraw consent where processing is based on consent.
